This policy sets out what personal data about users is collected by you, how, when and why you use it, how you protect it and who has access to it as well as how you will manage financial data in respect of payments.

You should consider the following:

  • What personal information are you asking users for and how will this be managed securely? Bear in mind that breaches of data protection law could leave you liable to large fines.
  • Which third party payment processor will you be using? Consider including a hyperlink to their terms.
  • How will you use information given to you? Will you use it for marketing purposes? You may need to get consent from users to use their personal data in this way when they sign up and/ or make a purchase.
  • Will you allow other parties e.g. your service providers (or third parties) to access user’s personal data? How will you manage this? If you do want to share information and the user gives consent you should have an agreement in place between you and the third party that governs the handling of this personally identifiable information.
  • How will you store data? Is it secure? How long will you keep it for and what will you do with it after this period? How will you ensure that data is removed correctly and securely?
  • How will you manage the use of cookies on your website? Cookies are a tool that a lot of e-commerce sites use that automatically save and remember user’s details and/or buying habits. For example, address details are often stored as cookies, details of products you may be interested in maybe stored as cookies and may result in advertising being tailored to your apparent interest in that product. It is often best practice to have a separate Cookie Policy on your website that sets out your policy on cookies and their use.
  • How will you manage complaints or queries arising from use of the website? How will you handle information provided within the complaint?
  • Ensure that you revisit your privacy statement to ensure that it reflects any legal changes that may have occurred. Make clear the date on which the policy was last reviewed.
